1. Introduction

SYNKROS (“we”, “us”, “our”) is a product of Kelthos Inc. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services at synkros.kelthos.com and the SYNKROS mobile application (collectively, the “Service”).

2. Information We Collect

2.1 Account Information

When you create an account, we collect your email address, display name, and profile photo (if signing in with Google). We also record your authentication provider (email or Google) and device fingerprint for security purposes.

2.2 Meeting Data

When you use our recording feature, we collect and process audio recordings of your meetings. These recordings are transcribed using third-party AI services (AssemblyAI) and summarized using OpenAI. The recordings, transcripts, and summaries are stored securely.

2.3 Device & Usage Data

We collect device fingerprints, IP addresses, browser user agent strings, and usage patterns to prevent abuse, enforce account limits, and improve our Service. We limit account creation to 2 accounts per device/IP address.

3. How We Use Your Information

• To provide and maintain the Service, including meeting transcription and AI summarization.
• To authenticate your identity and manage your account.
• To enforce account creation limits and prevent abuse.
• To send push notifications when your meeting summaries are ready.
• To process payments through Google Play Billing for premium subscriptions.
• To comply with legal obligations and respond to lawful requests.

4. Third-Party Services

We use the following third-party services to operate SYNKROS:

• Firebase (Google): Authentication and push notifications.
• AssemblyAI: Audio transcription and speaker identification.
• OpenAI: AI-powered meeting summarization.
• Cloudflare R2: Secure storage of audio recordings.
• Google Play Billing: Payment processing for premium subscriptions.

Each third-party service has its own privacy policy. We encourage you to review them. Audio recordings sent to AssemblyAI and OpenAI are processed according to their respective data processing agreements and are not used to train their models.

5. Data Storage & Security

Your data is stored on secure servers with encryption at rest and in transit. Audio recordings are stored in Cloudflare R2 with server-side encryption. We use HTTPS for all communications and implement industry-standard security measures. However, no method of transmission over the Internet is 100% secure.

6. Data Retention & Deletion

We retain your data as long as your account is active. When you request account deletion:

• Your account is immediately deactivated.
• A 30-day grace period begins during which you can cancel the deletion.
• After 30 days, all your data is permanently and irreversibly deleted, including audio recordings, transcripts, summaries, and account information.

You can request account deletion from the app Settings page or at synkros.kelthos.com/delete-account.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data.
• Delete your account and all associated data.
• Export your data in a portable format.
• Object to or restrict certain processing of your data.

8. Children's Privacy

SYNKROS is not intended for users under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected data from a child under 13, we will promptly delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the “Last updated” date.
